Local Site Coordinator
The National Performance and Visual Artist Network (NPN/VAN) is hiring a Local Site Coordinator for its Annual Meeting in Philadelphia in December 2012. NPN is dedicated to the advancement of the performing and visual arts field; the Annual Meeting is an essential program that strengthens the NPN/VAN network of national presenting organizations and artists. 350 people are expected to attend. Each year, NPN convenes the Annual Meeting in a city represented by an NPN Partner organization; Asian Arts Initiative and the Painted Bride Art Center are the NPN Partner hosts in Philadelphia.
The Annual Meeting Site Coordinator position is a part-time contract position, beginning August 1and ending December 30, 2012. Estimated average weekly hours: 10-16 hours; the week of the Meeting will require fulltime and often late hours. The candidate must have a car and valid driver’s license, have experience in organizing events, be able to take initiative and to think on his/her feet. Familiarity with the Philadelphia visual and performing arts community is a must.
Reports to: Mimi Zarsky, Senior Program Specialist for Convenings
Scope of Work:
- Point of contact for local logistics (hotel, meeting, visual and performing art sites, translators and
- caterers, transportation, etc.)
- Facilitate efforts to coordinate activities with Philadelphia visual and performing artists
- Point of contact for Philadelphia artists participating in the conference
- Develop ways to engage Philadelphia visual and performing artists with conference attendees
- Work with local Partners to organize a Philadelphia artist showcase outside of conference activities
- Compile and coordinate the site logistics of the meeting’s activities, including hotel, meeting, visual and performing art sites
- Compile and coordinate local information to include:
- transportation to and from site
- area maps
- cultural community events and artistic activities occurring in the city
- area restaurants (Dine Arounds)
- Organize and manage visual art tour and “art crawl” to performing and visual art venues
- Solicit and coordinate local in-kind donations–work with Local Host Committee
- Recruit, coordinate and oversee the schedule and duties of local volunteers (20-30) before, during and after the annual meeting. Volunteer duties include:
- assembling of meeting materials
- visual art exhibition installation
- distribution and collection of evaluation materials
- manning registration desk
- traffic and navigation
- signage
- Gather and submit information for final reporting
